New Memorial Submission Procedures
In Memoriam Biographies/Tributes And Campus Notices
Senate members and former Senate members may be remembered in two ways upon their passing. A campus notice can be sent, and a biography/tribute can be added to the systemwide Academic Senate's In Memoriam archive. Information regarding the procedure to submit either of these is provided below.
Submission Procedures
- The Senate member’s home department drafts a campus notice in accordance with the formatting instructions provided at the Campus Notices and Flyers page, and obtains approval from the family.
- The draft notice is sent to the cognizant general campus Dean, the VC Health Sciences, or the VC Marine Sciences, who transmit the notice on behalf of the department to the Office of the Executive Vice Chancellor-Academic Affairs (EVCAA). See below for contact information.
- The EVCAA Office transmits the notice to the Office of Policy and Records for campus distribution, with a copy to the Academic Senate.
- The final approved notice is sent out by the Office of Policy and Records. A copy of the notice is saved on the Campus Notices and Flyers page.
- The Senate member’s home department drafts the biography/tribute, and obtains approval from the family. The content may be the same as that of the campus notice, without the memorial services information, as the information posted on the systemwide Senate webpage is meant to be a permanent tribute, not an announcement of the services.

Photo Instructions:
A photo may be included. It should be smaller than 100 KB and sent in jpeg format.
- The draft notice is sent to the cognizant general campus Dean, the VC Health Sciences, or the VC Marine Sciences, who transmit the notice on behalf of the department to the Office of the Executive Vice Chancellor-Academic Affairs (EVCAA). See below for contact information.
- The EVCAA Office transmits the notice to the Academic Senate.
- The Academic Senate transmits the biography/tribute to the systemwide Senate Office. The biography/tribute is posted on the systemwide In Memoriam webpage.
